Zoho One

40+ business apps. One login. One bill.

Zoho One bundles CRM, accounting, HR, projects, desk, commerce, email, and 35+ more into a single subscription. For SMBs who'd otherwise stitch Salesforce + QuickBooks + Asana + Mailchimp + Intercom, Zoho One replaces the lot at €37/user/month — if you can live with the tradeoffs.

The apps that matter most

The 8 Zoho apps most Irish SMBs actually use.

Zoho One has 40+ apps. In practice, most clients get 80% of their value from these 8. Knowing that helps you evaluate whether the bundle is a fit — or if you only need 2-3 standalone apps.

CRM
Sales + pipeline
Contacts, deals, stages, forecasts, email sync. The core — what Zoho's best known for.
Books
Accounting
Invoices, quotes, expenses, VAT returns (Irish + UK), bank feeds. A genuine QuickBooks/Xero competitor.
Desk
Customer support
Ticket queue, shared inbox, knowledge base, SLAs. Direct Intercom / Zendesk competitor.
Projects
Project management
Task boards, Gantt, time tracking, billing. Lightweight Asana/Monday alternative.
Campaigns
Email marketing
Broadcast campaigns, drip sequences, A/B tests, list management. Syncs natively with CRM.
SalesIQ
Live chat + visitor tracking
Chat widget on your site, visitor session recording, automated routing. Intercom-lite.
People
HR + team management
Leave management, timesheets, performance reviews, org chart, onboarding workflows.
Analytics
BI + dashboards
Self-service dashboards pulling data from any Zoho app + external sources. Lightweight Looker alternative.
The cost argument

Zoho One vs separate SaaS stack — for a 15-person team.

This is the math that wins Zoho most of its deals. Real numbers for what an equivalent best-of-breed stack costs.

Zoho One
€37
per user / month · all 40+ apps
For 15 users
€555/mo
€6,660/year
Includes: CRM, Books, Campaigns, Desk, Projects, People, Recruit, Expense, Inventory, Analytics, Docs, Sign, and 28+ more.
Best-of-breed stack
(typical)
HubSpot CRM (Pro)€80/u
Xero€45/mo
Intercom€99/mo

Mailchimp Standard€60/mo
DocuSign€35/u
BambooHR€12/u
For 15 users · approx
€2,380/mo
€28,560/year
Zoho One saves ~€21,900/year for this stack.
Caveat: the saving assumes you'd otherwise buy all those tools. If you genuinely only need CRM + email, Zoho One is overkill — buy Zoho CRM + Campaigns standalone instead (~€24/user/mo combined).
Who wins with Zoho

The Irish businesses that thrive on Zoho.

Cost-conscious SMBs (10-50 staff)
Where budget + functionality matter equally and a polished UI is secondary to getting work done on one bill.
Generalist teams not specialists
Zoho's apps are 75-85% as good as category leaders. If no one's a power user of Salesforce or Xero, you likely don't need category-leader-grade features.
Teams allergic to SaaS sprawl
15 separate logins, 15 vendor relationships, 15 invoices. Zoho One collapses that to 1. For small ops teams, a big quality-of-life win.
International-from-day-1 businesses
Zoho's multi-currency, multi-language, multi-subsidiary support is surprisingly strong. Good for Irish companies with UK/US expansion plans.
Businesses prioritising data sovereignty
Zoho offers EU data residency (Ireland DC). Strong privacy stance. Easier GDPR story than US-hosted alternatives.
Professional services + agencies
CRM for leads, Projects for delivery, Books for invoicing, Desk for support, People for team — covers the full agency workflow natively.
The honest downsides

Where Zoho falls short.

UX polish is dated
Zoho UIs feel functional but 5 years behind HubSpot/Salesforce. Reps don't love it. If sales-team adoption depends on delight, factor this in.
Third-party integrations thinner
AppExchange has 10,000+ Salesforce apps. Zoho Marketplace has maybe 1,500 — quality is variable. If you rely on niche integrations, check before committing.
Quirks between apps
Each Zoho app was built separately and bolted together. Occasional data sync quirks, inconsistent UX, permissions that don't fully align across apps. Not deal-breakers but real friction.
Reporting is less polished than Salesforce
Zoho Analytics is capable but building truly complex cross-app reports is less elegant. For heavy BI needs, plan to export to a dedicated BI tool.
Support quality varies
Support tickets can take 24-72 hours. Premium support tier available but adds cost. For critical ops issues, have an expert (us or a Zoho partner) on retainer.
Migration away is painful
Like most CRMs, data is portable but config isn't. Custom workflows + report definitions don't migrate. Make the decision knowing switching will cost 2-4 months.
Frequently asked

Zoho questions.

Zoho One (€37/user) wins if you'd genuinely use 5+ apps. For just CRM + Email: Zoho CRM Pro (€23/user) + Campaigns Standard is cheaper. We scope which apps you actually need vs what's nice-to-have before recommending.
Functionally 80-85% equivalent to Xero/QB Online. Irish VAT3 returns, UK Making Tax Digital compliance, bank feeds, multi-currency all work. Accountants may still prefer Xero's cleaner UX — worth checking with yours before committing.
Yes — Zoho has plenty of 100-500+ person customers. Performance + functionality hold up. Where it doesn't: highly complex workflows across many teams (that's Salesforce territory) or marketing at very large scale (HubSpot or Marketo fits better).
Basic CRM + 2 other apps: 2-4 weeks. Full Zoho One with custom workflows and data migration: 8-14 weeks. We've done implementations for Irish agencies, consultancies, and SMBs — similar time range to HubSpot, faster than Salesforce.
Yes — native integrations with Gmail/Google Workspace, Office 365, Xero (if keeping it), Stripe, PayPal, DocuSign, Slack, and more. For custom integrations we use Zoho Flow (their built-in iPaaS) or Make/Zapier.
