What internal pain looks like

Four signs your ops is held together by duct tape.

If two of these sound familiar, your team is losing hours every week to bad tooling. Those hours are more expensive than you think.

Excel as the source of truth

Six spreadsheets, three versions, nobody's sure which is current. Decisions based on yesterday's data.

Staff in email chains all day

Every process is 12 forwarded emails. Approvals lost, requests dropped, no visibility who's doing what.

Generic SaaS that doesn't fit

Paying monthly for tools built for 'any business' — when your operation needs something specific to your industry.

Sensitive data everywhere

Customer info in Dropbox, HR in Google Drive, invoices in inboxes. GDPR audit would be painful.

Types we typically build

Three categories of internal tools Irish SMBs need most.

Most projects fall into one of these. If yours doesn't obviously fit, we're still happy to help you figure out whether custom makes sense.

How rollout works

Discovery, build, adoption, iterate.

Internal tools only work if your team uses them. We spend just as much time on rollout as on building.

Process discovery

Shadow your team for half a day. Map what actually happens — not what the handbook says happens. The real process is where the build starts.

Scoped build

Start small. Ship one focused tool that solves one clear pain. Expand from there if it's working. The worst projects try to solve everything at once.

Staff rollout

Hands-on training sessions before go-live. Written documentation. A real person to ring in the first month. Adoption is half the value.

Iterate in use

The best improvements come after 30 days of real use. We stay available for tweaks, then hand over or move to a maintenance retainer.

Is it a fit?

Internal tools pay back hours every week — when built for real work.

Not every team needs custom. Here's when it makes sense to invest, and when it's better to stick with what you have.

Right fit
We should talk if…
Your team is losing hours a week to manual process
Your industry/operation doesn't fit standard SaaS
You want data and process kept in one secure, owned system
You're ready to involve your staff in defining what's needed
You can commit to a 2-4 month build for a focused tool
Not a fit
We'll point you elsewhere if…
You're a 2-person team and could use Notion or Airtable
You've not mapped your processes — build maps first, then software
You want to replace every tool at once — better to start focused
You won't train your team or roll it out carefully — tools need adoption
Tech we build with

Common questions

Internal system questions, honestly answered.

The questions Irish SMBs ask us most often.

Use SaaS where it fits. We only recommend building when (1) the operation is specific enough that no SaaS genuinely covers it, (2) you're paying so much in subscriptions and workarounds that custom pays back within 18 months, or (3) data security or compliance requirements make generic SaaS a risk. If SaaS works, use it — we'll say so.
Smallest we typically build is 2-3 weeks for a focused single-purpose tool (e.g., a quote generator, a stock tracker, a simple client portal). Below that, Airtable or Notion is usually faster. We're happy to help you scope whether custom is really worth it for the size of your problem.
No. That's actually one of the main reasons for custom tools over generic SaaS — we design the interface around your actual users and their tasks. Admin views are technical if needed; staff views stay clean and focused on the work they do daily.
Usually yes. Most internal systems we build integrate with Xero/Sage for finance, Google Workspace or Microsoft 365 for calendars and docs, Stripe for payments, and Slack or Teams for notifications. If your existing tool has an API, we can probably connect.
Included. We run hands-on sessions with your team before launch, provide written documentation, and stay available for questions during the first month live. The best tool in the world fails if staff don't adopt it — getting rollout right is part of the job.
Role-based access from day one. Admin, manager, staff, view-only — whatever structure you need. Sensitive operations require specific permissions, actions are logged to an audit trail, and offboarding a staff member is one click rather than a project.

Is your team drowning in spreadsheets?

Free 30-minute call. Tell us what your staff actually does — we'll tell you honestly whether a custom tool would save real hours, or whether a cheaper fix solves it.
